Spring Coordinator Responsibilities

A Greenwich Village Little League division coordinator plays a crucial role in overseeing the specific age division of players within our program.  This role involves a blend of organization, communication, and problem-solving to create a positive and supportive environment for young players and their families.

Here are the GENERAL responsibilities of all coordinators in the Minors, Jr Minors, and T-Ball Divisions:

  1. Organizing Teams and Schedules: Ensuring teams are properly formed and creating game schedules.

  2. Selecting Team Managers: Identifying Managers (or Co-Managers for each team).

  3. Communication with Division:  Acting as the main point of contact for coaches, parents, and other volunteers, addressing concerns, and providing information on league rules and events.

  4. Upholding Safety Protocols: Ensuring all managers and coaches have completed necessary safety courses and background checks.

  5. Managing Equipment and Facilities: Coordinating the distribution and return of equipment, ensuring games have the necessary supplies, reporting any issues with field conditions to the board.

  6. Problem Solving and Conflict Resolution: Addressing any disputes or issues that arise during the season, such as conflicts between parents and coaches or rules disputes.

  7. Reporting to Board: Provide monthly verbal report to the board.

Responsibilities By Month

November-December (pre-season)

  • Not much.  Registration is open, but the registration team is handling. You can check in with them to monitor sign ups.

January (pre-season)

  • Communicate with families who have questions about schedules and team assignments/friend requests.

  • Identify team managers and coaches. 

February (pre-season)

  • Communicate with families who have questions about schedules and team assignments/friend requests.

  • Schedule your rules meetings for next month.

  • Send a “welcome” to [division] email introducing yourself and letting people know when to expect team assignments and more info about the season.  Make sure you plug opening day!

  • Continue to identify team managers and coaches.

  • Begin to build teams.

March (pre-season)

  • Communicate with families who have questions about schedules and team assignments/friend requests.

  • Finalize teams and schedules, and assign teams on website

  • Upload your practice and game schedule

  • Communicate information about opening day. 

  • Hold your rules meetings

  • Get your coaches and/or managers signed up for safety training.

  • Communicate to your managers any/all expectations for the season and also opening day.  

  • Uniforms will be delivered to P3 (or your apartment) and they will be packaged by team.  Coordinate the distribution OR pickup.

  • Equipment bags will be made for each manager in your division and will be ready for pick up at P3. These will be ready by mid to late March.  Communicate to Managers that they will need to be picked up. (except T-Ball which will be stored on the roof in bins)


April / May (in season)

  • Make sure your managers know where to go if they need equipment/balls.

  • Make sure your managers thank their sponsors and invite them to a game.

  • Consider making a whatsapp group for your managers!

  • Send weekly emails to your managers and coaches with important information 

June (in season)

  • Coordinate Equipment return with P3.
